What is the client’s vision for the project? What problems are the client trying to resolve, and do the solutions offered truly meet those needs? What is the client’s budget? What are the client’s time frame requirements? All of this requires careful listening, creative thinking, trust, patience, and teamwork.
The end result from the process: You will know what your project will cost, how long it will take, and what it will look like. The Distinctive Process, broken into four phases, is summarized in ten steps:
Step 1 – Discovery & Discussion
Phone Discussion – During the initial phone call we will listen actively, asking lots of questions, as you discuss the wants and needs of your renovation. This helps us to see the project through your eyes, so that we can work more effectively with you during the planning process.
Project Idea Book (sent in advance) – Before our first meeting we will ask you to compile a scrapbook of ideas, notes, priorities, pictures, and styles. It can be as detailed as you like. We also ask that every member of your household contribute to the Project Idea Book, to ensure that the final product is a true reflection of your family.
This process will help you express what you truly want to achieve with your remodel. It also gives you a chance to discuss the elements of your new space with other family members or anyone else who will be impacted by the new space.
Step 2 – Needs Assessment & Solution Development
First appointment – At our first meeting we will listen to your ideas and help you prioritize your wants and needs. We will also evaluate the existing environment and how to incorporate your desired changes so that the end result will be a seamless transition from old to new.
Review Project Idea Book – Key to this process is reviewing your Project Idea Book. It is your vision for your new space, put to paper, and aides in giving a deeper understanding of the project possibilities as well as what realistic budget parameters may be.
Professional Proposal & Estimate – Armed with the information gathered thus far, we will prepare a detailed proposal and estimate for your renovation. It will map out the project from beginning to end, discussing everything from demolition, to framing, electrical and plumbing, and materials. An approximate budget will be established, and it is at this point that adjustments can be made, to help ensure that you won’t face budget overruns at the end of the project.
Step 3 – Site Verification & Space/Structural Planning
We will begin with the “big picture” by doing an exhaustive review of the existing conditions of the space and taking detailed measurements of current dimensions. This overview will aid us as we work our way down to the fine points of the creative process with placement of new features including foundation, framing, electrical, plumbing, and mechanical (HVAC). Correct planning for these underlying elements is critical to the success of the finished product. From this information a comprehensive Scope of Work will be developed.
The Scope of Work is our map for how the project will be realized. In it Distinctive’s “standards” for construction techniques, materials, and specifications, which exceed Code requirements, are clearly defined.
The Scope includes architecture, space planning, structural changes, etc. It clearly describes what is and what is not in the project, and is presented for your approval.
Step 4 – Pricing Review (if applicable, commonly associated with large scale projects)
Occasionally, design creativity and solution development may push the design in a different direction. This is when we need to review the budget and determine if we are still on track with the budget expectations.
Step 5 – Selections
Now it is time to make specific materials selections. We will assist by introducing you to our design partners in cabinetry, counter tops, appliances, plumbing materials, and more. It is at this time that a preliminary electrical plan will be created, detailing the proposed placement of lighting, outlets, and switches. All of your selections will be expertly coordinated to enhance your space and communicate your unique taste. Certain decisions are better left for once construction has begun (i.e, paint colors, or the exact location of lighting).
All of the project information is then gathered together in a Job Book. Copies of the Job Books are kept by your Project Manager and on site for any subcontractors to reference. The Job Book ensures a seamless transition of details from design to production and is used as a reference for any meetings at the job site.
All of the information that has been gathered up to this point is then assembled in the final Construction Contract. This is where it all comes together and the contract will include copies of Drawings, a detailed Scope of Work, Selections, the Draw Payment Schedule, a Project Timeline, and more.
When construction begins a lot of things will be happening simultaneously. This is an exciting time but it can also feel confusing or overwhelming for the homeowner. To help you be prepared, we will provide you with our Homeowner’s Expectation Guide. This guide walks you through each step of the construction process, sharing not only the highs, but also those moments when you may feel frustrated or impatient. We want you to be fully informed so that you can anticipate what to expect during each phase of the project.
Step 6 – Pre-Construction & Staging
The time to start is almost here! Before construction can begin the Production Team will implement a carefully planned transition from Design to Production. Your Account Manager and Project Manager, will first meet with you on-site to review all aspects of the project and make sure that any potential obstacles have been addressed. We want to clarify what is important to you, so we will also discuss with you such details as where the dumpster will be located, where materials will be stored, traffic flow, work hours, your family, the steps we will take to protect non-construction areas of your home from dust, and how you can safeguard your pets.
During this time we will schedule each of the trade contractors and begin to order materials and confirm lead times to make sure that materials are on-site in time for their installation. These steps are designed to help reduce the level of stress that you may experience during your renovation.
We will also apply for Permits from the City or County that you live in.
Step 7 – Construction
We believe that communication is essential, so during construction your Project Manager will host weekly “Snap Shot” site meetings with you. A detailed agenda is followed covering upcoming payments, selections that need to be made, deadlines, project schedule updates, and any questions or concerns you may have.
Step 8 – Project Closing
Near the end of construction your Project Manager will meet with you and go through a detailed site review and a Punch List will be established to address any finishing touches that may be required. He will work hand-in-hand with you to make sure that items on the Punch List are completed to your satisfaction.
Step 9 – Feedback & Paperwork Meeting
Input from our clients is invaluable to us. It helps us learn what we are doing right and, more importantly, what we can improve to provide the most exceptional experience possible. At the conclusion of your project we will meet with you to get your feedback as to how it went. We will also provide contact information for different reporting agencies such as Guild Quality and Angie’s List should you wish to share your experience.
For your records, you will receive a fully written Warranty Manual detailing the process we go through to address any warranty issues you may have. Additionally we will provide, free of charge, a Homeowner Maintenance Guide designed to help you protect the major investment you have just made in your home.
Step 10 – Warranty & Referrals
